Job title:  Executive Director, Contract position

Employed by:  Fort Langley Community Hall, 9167 Glover Road, Fort Langley

Accountable to:  Board of Directors

Salary:  $25 per hour; 25 hour week (to be reviewed quarterly)

The Executive Director will be responsible for implementing the board of director’s plan for effective management of the hall.  The ED will work closely with the board of directors, local statutory and voluntary sector partners to ensure the hall is a vibrant, well managed facility.


The Executive Director is a contract position, operating on a yearly renewable contract pursuant to all laws as they apply within the province of BC and Canada.  All aspects of hall management shall adhere to policies and procedures established by the board.  Must be available to work flexible hours, which may include evenings and weekends.  Willingness to carry the hall cell phone solely for communicating on behalf of the hall, including answering incoming calls, text messages and emails regarding rental inquiries as well as other matters affecting the Fort Langley Community Hall.


  1. Serve as the primary contact between rental clients and the board
  2. Complete rental contracts in compliance with established fees
  3. Receive and record payment on rental fees
  4. Organize, coordinate and conduct tours of the hall with potential clients
  5. Respond to all rental inquiries by the end of the next business day
  6. Record feedback from clients and share with the board
  7. Coordinate the locking/unlocking of the hall as per policies and procedures
  8. Regularly update social media and website
  9. Distribute via email the Fort Chronicle, the hall newsletter, quarterly
  10. Remain reasonable available and accessible (office hours flexible, to be determined)
  11. Handle all lost and found items


  1. Assist the Treasurer with financial management
  2. Coordinate and oversee cleaning staff, service persons and maintain a preventative maintenance log, maintenance request forms and maintenance check list
  3. Maintain a safe clean hall by visually checking before, between and after rentals, including all rooms and grounds
  4. Overseeing that contractors meet requirements of their contract
  5. Maintain records including hazard assessments policy and procedure manuals
  6. Oversee annual inspections including but not limited to fire, health and security and ensure all requirements are met and recommendations followed through on
  7. Manage storage space and equipment within the hall
  8. Participate in long term planning for the hall


  1. Manage projects such as building renovations
  2. Maintain an inventory for all hall assets on the premises annually. As necessary, and with board approval, dispose of outdated, unsafe and worn out equipment
  3. Create monthly report and email to the board mailbox 3 days before the regular monthly meeting
  4. Attend all duly called board meetings
  5. Other duties as required by the board

  9. Post education, previous experience in the Not for Profit sector
  10. Previous management/administrative experience
